Under Wraps: Hide Annotations when Screen-Sharing at Discovery

Screen-sharing Primafact documents during discovery can be a convenient way to direct the room's attention to a common production. But what if your document includes Annotations that you do not want to share with your audience? Hiding annotations and other markup on open documents keeps your sensitive analysis under wraps.

You can adjust your document view settings in Primafact to hide annotations and other markup displayed on documents opened in the Tab view and in detachable windows. 

How to Hide Annotations

Open your document in a Tab or separate window, and click the Show dropdown. Select the markup you wish to hide or display – along with annotations, you can hide or display highlights and links.

Any documents opened in a Primafact Tab or separate Primafact window will display your selected Show settings from the time you hide annotations until you change your selections. (Regardless of your selected settings, Annotations, Links and Highlights will be displayed on the document Preview of any binder or list, so be careful to confirm you are displaying the intended view.) Your personal “Show” selections do not impact other users.

SCREEN-SHARING TIPS

Plan ahead - Before displaying Primafact documents to a crowd, we recommend pre-emptively hiding any annotations, so they are not inadvertently displayed when you share your document.

Add a Binder - Consider creating a dedicated binder for your current discovery or meeting, where you can copy any needed documents for quick reference.

One-Screen Sheltering - If you are appearing in-person, chances are you are appearing with a single screen. Click the Preview chevron to remove the document preview from the Binder view, to reduce the risk of displaying any annotations displayed in the Preview.

Double Up - A second monitor goes a long way in keeping track of what’s on display, and what’s for your eyes only. Two monitors let you display clean documents on your “share” screen, while giving you a private screen to reviewing any annotations and notes in a separate Primafact window. For in-person discoveries, a lightweight portable monitor can be a great investment for worry-free screen-sharing when you’re away from your desk.
