Setup Case/Update Existing Case Settings Using Case Templates

If you are updating to Primafact 6 with an existing caseload, it’s easy to update existing cases to match your Templated Coding Standards and Case Views. You can even apply coding settings from another Case using this tool.


How does Setup Case from Template work?

 You can set default values for individual Cases, overriding global annotation defaults and annotation templates for that Case. Using Setup Case from Template allows you to quickly configure an existing case to match settings from a Case Template (or another Primafact case).  

You can apply template settings to one case at a time.

You can configure a Case using elements from multiple Templates (e.g. Annotation colors from Template A, Team Flags from Template B).


Why Use Case Templates to configure cases?

Using Case Templates can help preserve standardization, while allowing for variances across Case types. 

If your firm's practice includes very different Case types (such as a Personal Injury and Estate Litigation), a "one-size fits all" approach to setting color labels, views and other customizations often does not work well for every team.  Your firm may prefer to set a smaller number of common "global" values, while applying practice-specific customizations to a Case Template.  

Embedding practice-specific customizations into a Template allows different case types to be set up uniformly (by type) in a way that reflects the needs of that practice group. 

Along with promoting unified coding standards. ultimately using templates saves time when configuring cases.

  • new Cases based on the template are configured immediately to match the Template 
  • and existing Cases can be quickly updated to match team standards by simply copying from the Template.  

Case templates enable consistent coding by practice group & make case configuration quicker.


Accessing Setup Case from Template Window

  1. Start by opening a binder on the Case you wish to update.
  2. Click the Gear icon at the bottom-right corner of your blue Case Navigation Ribbon.
  3. Select Select Case from Template from the Gear menu.
  4. The Setup Case window will open.

Selecting a Template

  1. From the Setup Case window, select the template you wish to copy.

    Optional: Copying from another Primafact Case: You can copy settings from another Primafact Case instead of a Case Template.  To choose another Case, deselect the Case Templates checkbox, then begin typing part of the Case name to filter to the Case you are looking for. 
  2. Click your desired Case Template/Case to select.
  3. Your Setup Case window will change to display setup options




Applying Template Settings to your Current Case

Once you have selected the Template you wish to copy from, you will choose the specific settings you wish to copy (you need to select "Copy Case Template" for each setting grouping you wish to apply.)

When updating an existing Case, you need to select "Copy Case Template" for each setting you wish to apply.  Settings not manually updated will not be updated to match the template.  This ensures cases can maintain current settings where desired.

Copy Team Flags from selected Template

  1. From the Setup Case window, click the Chevron > beside Team Flags:
  2. The setting will expand.  Click Copy Case Template to display the settings from the selected Template.  (You will notice that the settings default to Keep Current until you select the Copy Case Template button.) 
  3. Click Update Case to preserve your changes, or continue making changes and click Update Case when you have completed all selections.

    Note:  you can update settings one-by-one as many times as you wish, including updating different settings from different templates.)


Copy Annotation Colors from selected Template: 

  1. From the Setup Case window, click the Chevron > beside the setting you wish to copy (Annotation Colors):
  2. The setting will expand.  Click Copy Case Template to display the settings from the selected Template.  (You will notice that the settings default to Keep Current until you select the Copy Case Template button.) 
  3. Click Update Case to preserve your changes, or continue making changes and click Update Case when you have completed all selections.

    Note:  you can update settings one-by-one as many times as you wish, including updating different settings from different templates.)

Copy Annotation Issues from selected Template: 

  1. From the Setup Case window, click the Chevron > beside Annotation Issues:
  2. The setting will expand.  Click the Select Annotation Issues from: checkbox, then click the Case Template button.  A list of Annotation Issues will appear (as long as the Case Template has attached Annotation Issues).
  3. Click the Merge or Replace button:
    - Merge adds the selected Annotation Issues to any existing Annotation Issues on your current Case; 
    Replace removes all Annotation Issues that are not currently in use on your current Case and replaces with selected Template Annotation Issues (if you have any Annotation Issues on the current Case in use, those Annotation Issues will be preserved on the Current Case.)
  4. Use the Scroll Bars to scroll down the Setup Case window to display available Annotation Issues.  (You may not be able to see all available Annotation Issues displayed together on the screen at one time).
  5. Click the checkboxes beside any Annotation Issues you would like to add to your Case.  (Click Select All and Clear All will instantly choose or clear all checkboxes.)
  6. Click Update Case to preserve your changes, or continue making changes and click Update Case when you have completed all selections.

    Note:  you can update settings one-by-one as many times as you wish, including updating different settings from different templates.)


Other Setup

Expanding the Other Setup selection allows you to copy template values for Annotation Options, including Event Time and Reference Field labels; Autocomplete Values and Case Views. 

  1. From the Setup Case window, use the vertical scroll bar to navigate to Other Setup.  
  2. Click the Chevron > beside Other Setup to expand this area.


Annotation Options

Annotation Options are modifications to the annotation form, including:

  • Show Event Time along with Event Date 
  • Show Reference Fields - these are additional fields along with field labels that can be included on the annotation form (these fields are hidden by default)

Copy Annotation Options from Case Template:
  1. From the Other Setup tab on the Setup Case window use the vertical scroll bar to navigate to Annotation Options
  2. Click Copy Case Template
  3. The template values will appear.
  4. Click Update Case to preserve your changes, or continue making changes and click Update Case when you have completed all selections

Autocomplete Values

Autocomplete Values are text macros that your team can set up to make adding text or naming documents quicker and more consistent (e.g. typing "CNR" automatically converts to "Clinical Notes and Records").  Adding Autocomplete Values to a Case Template can accommodate the needs and preferences of a specific team or practice area.  

Note Autocompletes are case sensitive!

Copy Autocomplete Values from Case Template:

From the Other Setup tab on the Setup Case window use the vertical scroll bar to navigate to Autocomplete Values

  1. Click Copy Case Template
  2. The template values will appear.
  3. Click Update Case to preserve your changes, or continue making changes and click Update Case when you have completed all selections

 


Views

Copying Views from the Case Template allows you to quickly apply pre-set Case-Level views to your current Case.  Views are helpful, as they allow you to review lists of documents or lists of annotations with selected content, formatted to make specific tasks easier, such as reviewing service status, or preparing for an examination for discovery. 

Different case types may require different views - for example a tort case may use injury chronologies while a family matter may have a list of financial disclosures grouped by party.  Case-level views make it easier to quickly identify relevant views, by keeping practice-specific views out of the Global setttings.

 

Copy Case-Level Views from Case Template:

  1. From the Other Setup tab on the Setup Case window use the vertical scroll bar to navigate to Views
  2. Click Copy Case Template
  3. The template View list will appear.  It includes all "Case Views" available on the Template. (Note:  All Cases automatically include any Global Views - these Global views are not included on the Case Views list.)
  4. Click Update Case to preserve your changes, or continue making changes and click Update Case when you have completed all selections
